Hull City Council Case Study

Background

The scope of this project is to help achieve efficiency savings within the Street Scene Services Department of Hull City Council. This has included implementation of the
Imprest system within multiple business areas. Each area will be using Imprest to manage information such as cost, schedule and risk.

We are working with Hull to establish a number of standard workflows that will be used for management of transportation projects across multiple business areas. The workflows created will follow the Departments internal approach to project delivery. Each workflow consists of a number of key gateways and stages for consistency of reporting. Each project is ‘cloned’ from a standard template. Working in this way will enable each engineer and project manager to add tasks and sub-tasks suitable for delivery of their particular project.

Imprest
has been able to achieve this using its workflow module which is designed to be configurable to meet any process or methodology. Any number of workflows can be used within the same system and all are configurable by the customer.

Outcomes


We are presently working with the Street Scene Services Department to help achieve the following outcomes:

  • Savings in the medium term financial plan to enable future efficiencies from the reduction of project and programme management administration.a transparent view of schemes across the department, making early corrective action possible.
  • Improved project planning and allocation of resources.
  • Increased productivity.
  • Reducing the reliance on external service providers.
  • Improved methods to communicate progress to customers and stakeholders.


Additional Information

Imprest is comprised of a number of different modules and components. Hull mandated that a minimum project and programme management framework should be used within the system including the core Imprest modules of cost, schedule and risk which will be used to inform management reporting.

Once the core
Imprest modules have been suitably configured each business area administrator will be able to tailor their environment to meet their particular terminology requirements while still adhering to the corporate framework. Individual users will then be able to tailor their specific working area (home page) with the system information that is relevant to them such as system generated alerts, messages and tasks.

The flexibility that
Imprest can provide within a corporate framework will become a key success factor as the system is rolled out to other business areas across the Council.
